Information for first-year students – Undergraduate Studies

Welcome at SGH Warsaw School of Economics. Here is some basic information that should help you during your studies.

Soon you will receive on your e-mail, you gave us during recruitment process, information about: student number, login and password for SGH network. In case you don’t receive e-mail with above mentioned information until 22nd of Augutst 2023, please contact the IT Support Team zwri@sgh.waw.pl 

Login and password for SGH network is crucial information, it is needed for subscribing for classes, which at SGH is done only via USOSweb.

Semester declarations

To begin the studies you need to choose proper classes according to your plan of studies.

Semester declarations are submitted in USOSweb.

Schedule of semester declarations

Submitting in VDO of request for transfer of grades previously obtained in SGH for first semester students, who recruited again.

Instruction of the Dean of Bachelor Studies for accepting the grades obtained in Undergraduate Studies in SGH Warsaw School of Economics for students who start their studies once again in the academic year 2023/2024
  1. This instruction applies only to applicants, who were previously removed from the list of students in SGH Warsaw School of Economics (later called SGH), have passed the recruitment process for academic year 2023/2024 successfully and apply for recognition of the learning outcomes for subjects realized earlier in SGH for academic year 2023/2024.
  2. The decision for recognition of learning outcomes (commonly known as transfer or accepting of grades) from each and every subject is given by the Dean of Bachelor Studies, based on the application of the person mentioned in first point, submitted electronically in Virtual Dean’s Office, taking into account, in particular, the fulfilment of requirements referred to in points 3-10.
  3. Person referred to in point 1 may apply for transferring the grades realized previously in Undergraduate Studies in SGH. Application should meet the following criteria:
    • Should be submitted on from 23rd of August 2023 (10:00 a.m.) until 30th of August 2023 (10:00 a.m.),
    • Should contain the list of classes, in respect of which the person referred in point 1 is asking for recognition of learning outcomes, including: 
      • course code,
      • name of subject,
      • ECTS points.
  4. The access to Virtual Dean’s Office will be provided to applicants referred to in point 1, at the latest 1 day before the deadline referred to in point 3.
  5. The person referred to in point 1 has the right to choose the subjects, from which the grades should be transferred, among all subject realized during the previous studies in SGH.
  6. Grades from subjects passed previously can be recognised, if all the following conditions are met:
    • no more than 5 years passed since the date of student’s removal,
    • in the case of a second or next re-enrolment, during the period since the last start of studies, the student has shown steady and significant progress in learning,
    • course codes and names of subjects and the ECTS points correspond to those included in the plan of studies for students beginning studies in SGH from academic year 2023/2024,
    • there has been no significant change in their syllabi in terms of leaning outcomes or the form of credit.
  7. In case, when the person referred to in point 1 fails to submit the application within the deadline referred to in point 3 or will receive the negative decision to specific subject, the person is obliged to subscribe to classes included in the plan of studies according to the art. 12 of Rules and Regulations of first and second cycle in SGH Warsaw School of Economics and the Dean’s instruction on submitting the semester declaration. This obligation doesn’t apply to the subjects which were accepted based on the Dean’s decision referred to in point 2.
  8. In case referred to in point 6, student may apply for recognition of learning outcomes for other subjects (according to the requirements in point 3), which were realized earlier, except the subjects realized in current semester. Relevant application should be submitted the latest 2 weeks before the end of 1 st stage of semester declaration (preferences) for upcoming semester.
  9. Failure to submit the application referred to in point 8 within the deadline or receiving negative decision for specific subjects results with the necessity to include the subjects included in the plan of studies in the semester declaration for upcoming semester.
  10. The rules set out in points 7-9 shall apply accordingly to subsequent semesters, starting in the second semester.
  11. The instruction comes into force on 22nd of May 2023.

Centre of Foreign Languages

 In full-time bachelor’s studies, the student follows two foreign languages, in the remaining ones, one language offered by CNJO. In addition, in the afternoon studies, it is possible to choose German as a second language. While learning a language, students take a language competence assessment test, the result of which is taken into account when recruiting for international exchanges (e.g. Erasmus).

Student card

All first-year students in academic year 2023/2024 (who have PESEL number) can activate mLegitymacja (mCard) without the necessity of collecting the physical electronic student card (ELS)

Fee for the student card is 22 PLN. The payment should be made to the individual account number (not to the admission account), with the title of payment: name, last name, student number, mode of study, Payment for the student card. You will be able to collect the student card after the payment will be visible on your individual account.

Students who pay for the studies will be able to collect the student card after the tuition fee for the first semester will be paid.

Verification of the payments can be checked on the individual account number in USOSweb.

Collecting of the student card will be possible on:

  • 25.09.2023 Monday - 3:00 - 6:00 p.m.
  • 26.09.2023 Tuesday - 9:00 - 11:00 a.m.
  • 27.09.2023 Wednesday - 1:00 - 3:00 p.m.
  • 28.09.2023 Thursday - 9:00 - 11:00 a.m.
  • 29.09.2023 Friday - 9:00 - 11:00 a.m.

Students who will not collect the student card between 25th and 29th of September, will be able to do it from 2nd of October 2023, during office hours.

Students who will not fulfil the requirements, that is submit the necessary documents in Admission Office, will not be able to collect the student card. After the documents will be submitted to Admission Office, please contact Dean’s Office by e-mail to verify when the student card can be collected.

The ticket machine will be working during collecting the student cards - please choose “1st year - student card studies in English”.
Classes

Please take a look at the programme and the plan of studies:

  • during the first 3 semesters all of you have the same, obligatory classes (basic courses),
  • during the first 2 semesters you have also Physical Education classes (subscriptions for classes are made by Centre of Physical Education and Sport),
  • during the first 4 semesters you study 2 different languages - according to your declaration of languages during admission,
  • beginning from the 4th semester you can choose subjects and do the courses designed for your field of study (major, obligatory courses; elective courses related to your field of study; other elective courses),
  • you are allowed to choose and finish the minor within your field of study by doing specific groups of elective courses,
  • in the 5th or 6th semester you will choose the seminary and write the bachelor’s thesis,
  • during studies you are obliged to do the internship,
  • you are allowed to change the declared field of study before the end of the 3rd semester, only to another fee-based faculty.

Each semester you enrol on the classes logging in USOSweb and you have to do it BEFORE the classes begin! There is always more than one chance to do it. Not registering online may cause not being allowed to join the classes and, as a result, not completing them. You need 30 ECTS point each semester, 180 in the whole cycle of studies. You can use more, but exceeding the limit may result in adding a fee (check your table of payments). First you always choose the obligatory courses for the semester, then – if possible – you can add more. Each course you declare must be completed.

Erasmus

Students of studies conducted in English are also allowed to participate in student exchange programmes. Please direct all questions regarding the programmes (i.e. Erasmus) to Mrs Katarzyna Smolińska (room 5).

Exams

Exam session

You have 2 possibilities of taking each exam during the exam period („sesja”). If for some important reason (i.e. illness) you could not attend it, there is a possibility of prolonging the exam period. To do so you need to submit a special form. You have to attach the certification from the doctor’s office or other document that justifies your absence (not necessary if the reason was conflict of exams during the exam period – details in the Rules of Studies).

Grades

It is obligatory to check your grades in USOSweb and inform the Dean’s Office about any problems. After one month the complaints will not be considered. In case of not getting the grade, in spite of passing the exam, contact the lecturer.

Conditional enrolment

Conditional enrolment (so-called “warunek”) for the next semester is possible for students of the 1st semester with only one subject failed. As for the students of higher semesters, conditional consent to continue studying in the next semester may be awarded to those who did not pass not more than two courses. Getting “warunek” is not automatic: you need to submit a special form. Remember to take the same course next year (or semester, if possible). The payment for the conditional enrolment is specified in your table of payments and has to be made within 2 weeks following the Dean’s decision, into your individual EUR account.

Resolving problems and contact with the authorities

Problems with Virtual Dean’s Office and e-mail accounts are the responsibility of Zespół Wsparcia Rozwiązań Informatycznych (IT Support): zwri@sgh.waw.pl (tel. 22 564 64 64 , Building B - Library, room 1).

If your case is unique and the standard rules do not apply, you may contact the Dean/Vice Dean directly in his office. The hours will be announced on the website.

If you need to submit a written request, you bring it to the Dean’s Office or submit it via USOSweb or VDO (depending on the request). The process may take up 2 weeks, so after this period you can ask about the decision.

Details:

  • decisions related to your studies (exams, grades, enrolling onto classes, leave from classes, conditional enrolment, change of field of studies, etc.) are made by the Dean (Prodziekan/Vice Dean),
  • decisions related to prolongation of deadlines (submitting documents that you have not submitted during the recruitment process, payments) are made by the Rector (Prorektor ds. dydaktyki i studentów/Vice Rector for Teaching and Student Affairs),

All requests/applications directed to the Dean/Rector have to contain: 

  • actual date of submitting the request,
  • your personal data (at least name, surname, student’s number, faculty and year),
  • name of the person you are referring to,
  • explanation of the problem / justification of the request,
  • signature (hand-written),
  • in the case of extraordinary requests (especially related to payments) other documents, confirming your situation, may be needed.
Duties of the student
  • Read and know the Rules and Regulations of Studies,
  • enrol on the classes online,
  • control the grades in USOSweb,
  • pay the fees on time,
  • collect the documents in person,
  • inform about the change of personal data (including correspondence address and telephone number),
  • foreign students who were enrolled for studies on the basis of (among others) visa or residence card are obliged to submit the up-to-date document immediately after the expiration date of the previous one,
  • check the e-mail box at SGH,
  • check „Aktualności/News”) on the website

Semester declarations are done in USOSweb. Every semester SGH students have the right and duty to choose courses in accordance with their study programme and on the basis of the SGH Didactic Offer which is in effect in a given academic year.

Twice a year there is a process of semester declaration submission. Detailes schedule of semester declaration is available on our website.
