Extending the session – Undergraduate Studies

The rules of conducting the examination session are outlined in the Rules and Regulations of First and Second Cycle Study Programme and Long Cycle Programme at the SGH Warsaw School of Economics

Request for extending Spring session 2024/2025 can be submitted on USOSweb within the strict deadline of 22.09.2025 10.00 a.am to 29.09.2025 till the end of day.

The student, after obtaining the Dean’s permission to extend the session, is obliged to immediately contact the lecturer in order to determine the date of the exam, which must take place before the deadline specified in the decision.


The student shall have the right to use the two sits of an examination for every course. The right to use two examination sits shall not apply to the students who received at least a sufficient grade at the first sit.

The instructor shall be allowed to hold a non-obligatory exam before the examination session begins (the so-called early examination date). If a student decides to take such examination, it shall be considered use of one sit, available in the session.

The dean, at the student’s request, in justified and documented cases, may agree to the extension of the exam session.

Justification of the student’s absence during the exam and receiving the right to extension of examination session is possible in the following cases:

  • should there be more than two examinations scheduled on one day or should two examinations overlap,
  • inability to take the exam, confirmed by a medical certificate,
  • other documented special cases. 

Detailed rules of procedure and deadlines for excusing absence are regulated by the following instructions of the Dean of Bachelor Studies:

Dean’s Instruction on the Procedure and Deadlines for Justifying Absence from an Examination (in force from 1 October 2025)

In reference to § 23 (5) of the Rules and Regulations of Studies, the following rules are introduced:

  1. In case of absence from an examination due to illness, a student seeking an additional examination date in the extended exam session must submit a medical certificate within three days counting from the day after its issuance. If a long-term certificate was issued earlier than three days prior to the start of the exam session, it should be submitted no later than the first day of the exam session inclusive.
  2. A medical certificate can be submitted to the Undergraduate Studies Office (DSL) by one of the following means:
    a) Sending a scanned copy (only from an e-mail address in the SGH domain) to the year assistant’s address,
    b) Delivering it in person or via a third party to the submission office during student service hours,
    c) Via the e-PUAP platform,
    d) By mail.
    Any certificate submitted under items (b)–(d) must include: the student’s first and last name, index number, year and mode of studies, and the name of the year assistant.
  3.   If the student fails to pass a course after the second exam session, a student who submitted a medical certificate as in point 1 may request an additional exam date, if the scheduled exam date in the session coincided with the validity of the certificate. The request for an additional exam date must be submitted via an appropriate electronic application form available in USOS.
  4. A necessary condition for exercising the right to an additional exam date is that the student did not take any exams at SGH during the period covered by the properly submitted medical certificate.
  5. If the request for an additional exam date is based on reasons other than illness, the student must present credible documentation by attaching scanned copies or  clear photos of documents justifying the request in the USOS application.

This instruction enters into force on 1 October 2025.

Dean’s Instruction on Procedure in Case of More Than Two Exams or Exam Time Conflicts in One Day (in force from 1 October 2025)

In reference to § 23 (6) and (8) of the Rules and Regulations of Studies, the following rules are introduced:

  1. In the event of a scheduling conflict between exam times or of more than two examinations being scheduled for the same day (for weekend-program students: more than three), students are entitled to request an additional exam date. The condition for exercising this right is to report the occurrence of the conflict before the first day of the relevant exam session, using the appropriate form in the USOS system.
  2. In case of overlapping exam times, the student must indicate in the form which exam they do not intend to attend. For that exam, the student may request an extension of the session (an additional exam date).
  3. In the event of more than two (or three for weekend-program students) exams being scheduled on the same day, the student must indicate in the form which exams they will not attend. The student may then request an extension of the session for those exams.

This instruction enters into force on 1 October 2025.
