Rules and Deadlines for the Submission of the Diploma Thesis in Second‑Cycle (Master’s) Studies

The diploma thesis workflow is conducted within the electronic system known as the Archive of Diploma Theses (APD).
When the final version of the thesis is ready, you ought to upload it to the Archive for Diploma Theses (login and password are the same that for the SGH mailbox and USOSweb).

Deadlines

The master’s thesis needs to be submitted in the fourth semester of studies.

The final deadline for submitting the dissertation for students currently in the fourth semester of studies (Summer 2025/2026) is 24 September 2026. 

The date of submission is understood as the day on which the supervisor issues a positive assessment of the dissertation.
To allow sufficient time for the supervisor to assess the dissertation before the final deadline, students must upload the final version of their dissertation (approved by the supervisor) to the APD system by 21 September 2026.
 

Students who wish to take the diploma examination in July must upload their dissertations to the APD system by 10 June 2026

The supervisor must issue a positive assessment in APD by 14 June 2026.
 

Uploading the Thesis to the APD system

Once the final version of the thesis has been prepared, it must be uploaded to the Archive of Diploma Theses (APD) system. Access to the system requires the same login and password as those used for the SGH email account.
The following information and files must be entered and uploaded to the APD system:

  • acceptance of the author’s declaration of independent authorship of the diploma thesis or thesis chapters, with the following wording:
    “Aware of legal responsibility, I declare that this diploma thesis has been prepared independently by me in accordance with applicable regulations. I also declare that the submitted diploma thesis has not previously been subject to procedures leading to the award of a professional or academic degree.”
  • information on the language in which the thesis was prepared;
  • the correct title of the diploma thesis in the language in which it was written;
  • the abstract of the thesis in the language in which it was written;
  • Keywords in the language in which the thesis was written;
  • a PDF file containing the electronic version of the diploma thesis, prepared in accordance with the rules set out in the SGH Study Regulations, including the title page formatted according to the required template;
  • an attachment in the form of a thesis presentation (PDF file);
  • any additional appendices that form an integral part of the thesis (submitted as a single compressed archive file in PDF, ZIP, TGZ, or 7Z format)
  • indicate by selecting the appropriate option (consent or refusal), for making the defended thesis available in the SGH Library reading room.

Important note
In the case of group theses, each student who co‑authored the thesis must individually accept the author’s declaration of independent preparation. All other steps in the APD system are completed by one designated co‑author only.


Documents Submitted with the Thesis

A set of documents should be sent via email to the administrative support person on the day of uploading the thesis to the APD system.

The list of documents to be submitted includes:

  • a statement for the diploma supplement;
  • a statement about extracurricular student activities (optional);
  • proof of payment for an additional copy of the diploma (a third copy, issued at the student’s request) in a foreign language – payment should be made to the individual bank account number visible in USOSweb.
    Please note that the student registration number must be included in the transfer reference.
    The fee amounts to PLN 20, in accordance with Rector’s Ordinance No. 18 of 8 May 2019.
