Rules of submission on bachelor thesis - Instruction of the Dean of Bachelor Studies on submitting the bachelor thesis and the diploma exam
With reference to § 38.3 of Rules and regulations and § 8.1 of the Annex to the Rules and regulations the following rules are introduced:
- The student is required to upload the final version of the thesis approved by the supervisor to APD system, as well as a file with a presentation which is the appendix to the thesis (both in PDF format) no later than 3 working days before the end of the second term of exam session in which the bachelor seminar is taken by the student, or – in case of students who would like to proceed to the defence in July – no later than 3 working days before the deadline indicated by the Dean.
- Before uploading the thesis, student must approve a statement in the APD system confirming that it was prepared it independently. In the case of team thesis, the statement must be confirmed by all authors.
- Formal requirements for the presentation of the thesis:
- compliance with the visual identity rules of the SGH Warsaw School of Economics;
- PDF file format, maximum size 25.0 MB;
- the first page should include: the title of the thesis, the author’s name, field of study, supervisor’s name. - Within 7 days after the thesis is uploaded to APD system the student shall send an e-mail from the SGH e-mail address to obrony.licencjat@sgh.waw.pl, with attachments:
• personal questionnaire,
• confirmation of payment for the diploma,
• in case of extracurricular achievements, about which information is included in the diploma supplement – statement of the student’s extracurricular activity and confirmation of particular achievements in the form of e-mails send by appropriate SGH units or scans of Documents. - Within 3 working days after the student uploads the thesis to APD system, that is before the deadline specified in the Rules and Regulations or set by the Dean, the supervisor sends it for anti-plagiarism verification and then makes a decision to accept or reject the thesis. Acceptance of the thesis is equivalent to approval of the form with a positive assessment of the thesis in the system. If the supervisor wishes to reject the thesis, they should not accept the anti-plagiarism report or should approve a negative assessment in the APD system. In order to pass the bachelor’s seminar, in addition to the acceptance of the thesis in the APD, an entry confirming completion must be made in the USOS protocol.
- After accepting the thesis the supervisor sends an e-mail from the SGH account to obrony.licencjat@sgh.waw.pl which says “for the reviewer of the thesis of student XXX I propose…”. The final decision on assigning the task of reviewing a thesis is made by the Dean. The reviewer receives notification of the task of preparing a review via their work email account.
- Within 15 days from the date of receipt of notification, thee reviewer fills out the review form in the APD system.
- After obtaining a full set of documents and verifying the student’s completion of studies the Dean shall set a date of the bachelor exam, informing the supervisor, the reviewer and the student by e-mail (to the SGH e-mail address), no later than 7 days before the scheduled date.
- The bachelor exam is held before a committee appointed by the Dean. The committee consists of: the head of the committee, the supervisor, and the reviewer of the thesis.
- The bachelor exam is oral and will be held on site on dates and in rooms designated by the Dean’s Office.
- The diploma exam is conducted in the language in which the thesis was written. The exam consists of a presentation of the thesis by the student using a presentation file provided to the student by the Head of the Examination Committee (the maximum time for the presentation is 5 minutes) and answers to two exam questions related to the subject matter of the thesis and the learning outcomes of the given field of study.
- Answers to each of the two exam questions and the presentation are assessed separately based on the grading scale applicable at SGH for first- and second-cycle studies. Receiving at least one failing grade means that the exam has not been passed. The final grade for the diploma exam is then a failing grade.
- The bachelor exam is considered passed if the Examination Committee has assessed the answers to each of the questions asked to the student and the presentation as at least satisfactory. In the event of failure to pass the bachelor exam within the set deadline or unjustified absence from the exam, the Dean sets a second exam date as the final one. When justifying a student’s absence on the first or second exam date, the same rules apply as in the case of justifying absence from exams during the exam session.
- Once the bachelor exam has been passed, the final grade for the diploma exam is calculated according to the following rules:
• if the exam is passed on the first date, the final grade is the arithmetic mean of the grades obtained for the exam questions and the presentation.
• if the exam is passed on the second date, the final grade is calculated as the arithmetic mean of both dates.
This instruction apply to students who are completing or repeating a bachelor’s seminar in the 2025/2026 academic year and thereafter.
The instructions come into force on 20th January 2026.
